What does Tradify send staff when you schedule them?
Tradify's scheduling page says staff get automatic notifications as soon as an appointment is scheduled for them, by push notification in the mobile app and by email, and again when you change their schedule. Where those notifications go is set on each staff member's record under Job Notifications: push notifications to the Tradify mobile app, email to the address on the staff record, both, or none. When you create an appointment in the Scheduler, the Email Confirmation section has an optional message you can edit, and you can save it as the default for later appointments sent from your user.
- Staff records are under Settings, then Staff Members, where the Job Notifications choice sits.
- Use the address the person reads on site, usually the one on their phone.
- Book yourself a test appointment, then change it, and check both notifications arrive before telling the crew.
How do subcontractors get their Tradify appointments?
Subcontractors are added as Connections. When you schedule a Connection, Tradify sends an email invitation. Once they accept, an appointment email follows with the customer's name, address and contact details, the date and time, the Tradify job number and the job's tasks. Tradify's help centre notes that photos and other files, such as job notes, are not included. You can turn on automated reminders for Connections who have not confirmed an appointment. Those emails go at a fixed time, 8am in the Connection's local time, so a subcontractor in Perth receives them at 8am Perth time. A subcontractor who does not use Tradify needs to sign up for a free Tradify account to open the appointment.
Is there a daily schedule email for each staff member?
Tradify's public help centre, checked in October 2026, documents notifications for each appointment and each change. We did not find a documented option that emails each staff member a single summary of their whole day. Ask Tradify support whether your plan includes one before you build anything around it, because features change. Until then there are three practical routes: staff open the Scheduler in the Tradify mobile app each morning; the office sends a run sheet at a set time; or an automation reads the schedule and writes a digest. The third route depends on what access Tradify gives other tools on your plan, so confirm that in writing first.
Where do staff replies to schedule emails go?
Decide where replies should go before you switch email notifications on. A notification may come from a system address, and a reply sent to it may never reach the office. Test it: reply to a test notification and see where, or whether, the message lands. If replies do not reach a monitored inbox, tell staff to use one channel for schedule problems, such as a call to the office or an email to a shared address like jobs@ that someone owns during work hours. An AI triage step on that shared address can then tag messages such as running late, need parts or cannot attend, and put them in front of the person who runs the schedule.
Where does AI email handling fit around Tradify?
Keep the Tradify schedule as the one record everyone works from. Customer emails asking to move a booking, confirm an arrival window or add work arrive in the office inbox, not in Tradify. An AI triage step can recognise those requests, pull the job number or address from the thread and draft a reply for the office to check. A person then changes the appointment in Tradify, and that change triggers the staff notification. Keep the AI out of the schedule itself. If it emails the crew directly as well, staff receive two versions of the same change and stop trusting either.
- AI reads and labels: reschedule request, arrival time question, extra work, cancellation.
- A person edits the appointment in Tradify.
- Tradify notifies the staff member; the office confirms with the customer.
What should a morning run sheet contain?
If you send a daily run sheet, keep it short enough to read in the ute before the first job. List jobs in order with the arrival window, site address, customer name and best contact number, access notes, and the job number so staff can look up detail in the app. Leave pricing and internal margin notes out. Add a line for anything that changed since the afternoon before, because late changes are what staff miss. Send it at a fixed time and say in the email that the Tradify app is the current version if the two ever differ.
Keep gate codes, lockbox numbers and alarm details in the job record in Tradify. A run sheet email gets forwarded and stays in inboxes long after the job, so it is the wrong place for them.
