When you use AI Email, we collect information you provide directly: name, email, phone number, company name, and message content via our contact form. When you connect your email account to our service, we process email metadata (sender, recipient, subject, timestamps) and email content to provide our AI email management features.

2. How We Use Your Information

We use your information to:

  • Provide and improve our AI email management service
  • Triage, categorise, and draft responses to your emails
  • Train your personalised AI model on your writing style
  • Respond to your enquiries and support requests
  • Send service updates and relevant communications
  • Analyse usage patterns to improve our AI models
  • Comply with legal obligations

3. Email Data Handling

We take email privacy extremely seriously. Your email content is processed in real-time and is not permanently stored beyond what is necessary for service delivery. Email data is never used to train AI models for other customers. You can disconnect your email account and request deletion of all processed data at any time.

4. Data Security

We implement industry-leading security measures including AES-256 encryption at rest and in transit, SOC 2 Type II compliance, strict access controls, and regular security audits. Your email data is processed in Australian data centres. We use OAuth 2.0 for email platform authentication, meaning we never see or store your email password.

5. Data Sharing

We do not sell your personal information or email data. We may share data with trusted service providers (cloud hosting, analytics) who assist in operating our service, bound by strict confidentiality agreements and data processing agreements.

6. Your Rights

Under the Australian Privacy Act 1988, you have the right to access, correct, or delete your personal information. You can disconnect your email account at any time, which immediately stops all AI processing. Contact us at hello@ai-email.au to exercise these rights.

7. Cookies & Analytics

We use Google Analytics 4 to understand how visitors use our website. This involves cookies that collect anonymised usage data. You can opt out via your browser settings.

8. Data Retention

Processed email data is retained for the duration of your active subscription plus 30 days. Upon account cancellation or disconnection, all email data is permanently deleted within 30 days. Contact form submissions are retained for 12 months for business records purposes.
