Hand over email work before a colleague goes on leave

An out-of-office message tells people someone is away, but it does not transfer responsibility for unfinished work. A useful handover identifies the open tasks, who can act and what callers or correspondents have already been told. Use this process before planned leave and adapt it for unexpected absence.

List tasks rather than forwarding an inbox

Start with work that still needs a decision, response or promised follow-up. For each item, record the conversation reference, current state and next action. Distinguish a deadline agreed with the correspondent from an internal review target. Include drafts waiting for approval and requests awaiting another team. Forwarding every message can obscure the few items that need action and create unnecessary copies. Keep the handover linked to the workspace where staff will update the task.

Confirm who accepts responsibility

Assign a named cover person or a staffed queue and define how they acknowledge the handover. Check that cover is actually available during the absence. Where responsibility changes partway through the period, record the next handover point. A copied colleague is not automatically an owner. If no authorised cover exists for a task, have the manager decide how to handle it and what expectation to communicate before the original owner leaves.

Give cover the right access and authority

Confirm that the receiving person can read the necessary conversation and related task records through approved access arrangements. Do not share passwords or forward restricted content to a personal mailbox. State which replies the cover person may approve and which commitments need another decision-maker. Access to a message does not by itself authorise a discount, contract change or refund. Include the escalation route for requests outside the cover role rather than leaving staff to infer their authority.

Align automatic messages with the cover process

Check the absence wording against the actual arrangement. Provide the approved contact route and avoid a response-time promise the receiving team has not accepted. Decide how new messages become owned tasks and whether existing scheduled follow-ups should pause. Test that a message reaching the original address is visible to the intended cover through the configured process. An informative absence reply is useful only if the next route it gives the correspondent is staffed and usable.

Rehearse a fictional open enquiry

In a fictional example, a coordinator leaves with a supplier question awaiting manager approval. The handover records the pending decision and assigns the task to an available colleague. A draft reply remains unapproved. When the supplier writes again, the cover person sees the existing task and requests the decision without sending a second acknowledgement or inventing an answer. The test checks ownership, record access and approval boundaries using fictional messages and internal test accounts.

Reconcile work when the person returns

Review completed, open and paused tasks before restoring ordinary ownership. Keep replies sent by cover visible so the returning colleague does not repeat them. Resolve drafts that are now obsolete and check any follow-up scheduled during the absence. Remove temporary access through the approved process when it is no longer needed. Record who retains each unfinished item. Returning to the office should not silently undo a cover arrangement while another person is still handling the conversation.
